Personal Assistant 12 Month Fixed Term Contract - St John's Wood - £28,000 to £35,000

My client, a highly successful top tier Real Estate Agency, are currently seeking an experienced PA/Office Coordinator with proven property experience, to join their office in St John's Wood on a 12 month fixed term contract covering maternity. You will be a vital part of the team, providing support to the top end sales team and ensuring the smooth running of the office alongside being the PA to the Head of Office.
The role will involve speaking with high net worth clients and thus requires and individual who is professional, well-spoken and understands the importance of confidentially when dealing with sensitive information.

Your duties will include:

  • PA to Head of Office (HOO)
  • Diary management and email management for the director
  • Deal with all personal matters for the director
  • Handle all inbound enquiries on the phone
  • Be first point of contact when HOO is not available
  • Local and international travel arrangements and itineraries
  • Assisting the Top End Sales Team
  • Liaise with high net worth clients regarding Property Tours, Meetings, Introductions, Finance Advice and Sales
  • Organisation of any office maintenance and car parking passes
  • Monitoring and purchase of office supplies and handling of expenses
  • Organisation of any staff functions and client entertainment
  • Organisation of internal staff and office meetings and taking minutes as appropriate
  • Management and liaison with cleaners, office neighbours, council, local business
  • Handling any complaints in the absence of HOO
  • Assisting with hiring and training of support staff; placing advertisements, perusal of CV's, candidate selection process and conducting initial interviews
  • Co-ordinating holidays and arranging switchboard cover
  • Upload properties on to the web, set up files and manage core market properties on Reapit
  • Co-ordinate photos, floor plans and brochure production
  • Ensure that the Quality System is maintained in accordance with ISO
  • Create Monthly/Weekly reports, Excel spreadsheets and PowerPoint presentations
  • Ensuring the smooth running of the office by carrying out general administration

Skills and Expertise Required:

  • At least 3 years PA experience at Director level or above
  • At least 5 years Admin experience
  • Accustomed to working in a high pressure environment
  • A motivated, ambitious and organised team player
  • Confident at dealing with individuals (local and international) of all levels
  • Strong all round administrative and time management skills
  • Trustworthy and loyal
  • Able to meet objectives efficiently and thrive under pressure
  • Excellent IT skills including Advanced Microsoft (Excel, Word, PowerPoint, Outlook) and Adobe Photoshop

Salary: £28,000 - £35,000 dependant on expeirence
Working Hours: Monday to Friday 8:30am - 6:30pm
