Personal Assistant - 12 Month Fixed Term Contract – St John’s Wood – £28,000 to £35,000

My client, a highly successful top tier Real Estate Agency, are currently seeking an experienced Personal Assistant / Office Coordinator with proven property experience, to join their office in St John’s Wood on a 12 month fixed term contract covering maternity.

You will be a vital part of the team, providing support to the sales team and ensuring the smooth running of the office, alongside PA support to the Director.

The role will involve speaking with high net worth clients and thus requires an individual who is professional, confident and understands the importance of confidentially when dealing with sensitive information.

Your duties will include:

  • PA support to Director 
  • Diary management and email management for the director
  • Handling enquiries – over the phone and via email
  • Local and international travel arrangements and itineraries
  • Assisting the Sales Team with their administration and coordination
  • Liaise with high net worth clients regarding viewings, property tours and meetings etc
  • Monitoring and purchase of office supplies and handling of expenses
  • Organisation of any staff events and client entertainment
  • Organisation of meetings and taking minutes if required
  • Assisting with hiring and training of support staff; placing advertisements, perusal of CV’s, candidate selection process and conducting initial interviews
  • Co-ordinating and logging staff holiday
  • Updating and uploading new property listings - setting up files and managing core market properties on Reapit
  • Co-ordinate photos, floor plans and brochure production
  • Create Monthly/Weekly reports, Excel spreadsheets and PowerPoint presentations
  • Ensuring the smooth running of the office

Skills and Expertise Required:

  • At least 3 years PA experience at Director level or above
  • At least 5 years Property Administration experience
  • A motivated, ambitious and organised team player
  • Confident in dealing with individuals at all levels
  • Strong administrative and time management skills
  • Trustworthy and loyal
  • Able to meet objectives efficiently and thrive under pressure
  • Excellent IT skills including Advanced Microsoft (Excel, Word, PowerPoint, Outlook and Adobe Photoshop)

Salary Circa £28,000 - £35,000 dependant on experience
